Terms of service
Clear rules for using Chanak Academy across student learning, teacher tools, school access, parent visibility, AI support, subscriptions, and platform safety.

These Terms explain how Chanak Academy may be used by students, teachers, schools, parents, and partners. They should be read together with our Privacy Policy and Child & Student Data Notice. By using Chanak Academy, you agree to use it lawfully, responsibly, and for educational purposes.
Section 01
About Chanak Academy
Chanak Academy is a curriculum-led learning platform for East African secondary education. It connects lessons, practice, AI-supported tutor help, classwork, family visibility, and school records around the academic pathway learners already meet at school.
The Platform supports students, teachers, parents, guardians, schools, and education partners through features that may include:
- Curriculum-aligned lessons, learning materials, and revision content.
- AI-supported tutoring and learning assistance through ChanAI.
- Quizzes, practice questions, assignments, assessments, and mastery tracking.
- Teacher class management, feedback, content creation, and reporting tools.
- Parent and guardian visibility, school dashboards, notifications, subscriptions, and other education-related tools introduced over time.
Chanak Academy is designed to support learning, teaching, revision, assessment, and academic visibility. It is not a replacement for schools, teachers, guardians, official examinations, regulatory education authorities, or professional judgment.
Section 02
Key definitions
In these Terms, the following words have these meanings unless the context clearly requires something different:
- Chanak, we, us, or our
- — Chanak EdTech Ltd and any authorized operator of Chanak Academy.
- Terms
- — These Terms of Service, including any policies or written agreements that are expressly incorporated by reference.
- Platform
- — Chanak Academy, including the website, web application, mobile applications, APIs, AI tools, content, communications, and related services.
- User, you, or your
- — Any person or entity using the Platform.
- Student
- — A learner using Chanak Academy for study, practice, revision, assignments, assessments, or tutoring support.
- Teacher
- — A teacher, tutor, instructor, facilitator, or school staff member using Chanak Academy to support learning or manage academic activity.
- Parent or Guardian
- — A parent, guardian, caregiver, or other authorized adult linked to a student account.
- School
- — A school, education institution, learning center, or authorized academic organization using Chanak Academy.
- School Account
- — An account created, sponsored, managed, or controlled by a school or institution.
- Content
- — Lessons, notes, questions, answers, quizzes, files, assignments, submissions, messages, feedback, links, AI-generated materials, and other materials available through or submitted to the Platform.
- User Content
- — Content uploaded, submitted, generated, shared, or created by a user, including teacher materials, student submissions, class posts, comments, and uploaded documents.
- ChanAI
- — Chanak Academy’s AI-supported learning assistant, tutor, teacher assistant, and related AI features.
Section 03
Agreement to these Terms
These Terms are a legally binding agreement governing your access to and use of Chanak Academy, including our website, web application, mobile applications, school tools, teacher tools, student learning features, parent features, AI-supported tutoring, assessments, classwork tools, communications, payments, and related services.
By creating an account, accessing the Platform, joining a class, using ChanAI, uploading content, making a payment, or otherwise using Chanak Academy, you agree to these Terms, our Privacy Policy, and where applicable our Child & Student Data Notice.
If you use Chanak Academy on behalf of a school, institution, company, organization, or other legal entity, you confirm that you have authority to accept these Terms for that entity.
If you do not agree with these Terms, you should not use Chanak Academy. A separate written school, institutional, partner, or data processing agreement may also apply. If there is a conflict, the signed written agreement controls for that specific relationship, while the rest of these Terms continue to apply where they are not inconsistent.
Section 04
Eligibility and account use
You may use Chanak Academy if you are:
- A student permitted to use the Platform by a parent, guardian, school, or other authorized adult where required.
- A teacher, tutor, or school staff member authorized by a school or institution.
- A parent or guardian linked to a learner.
- An individual subscriber, school, organization, or partner authorized to use the Platform.
Because Chanak Academy serves school-age learners, some users may be minors under applicable law. Where a student is below the age required to independently consent to digital services or personal data processing, use of the Platform must be authorized by a parent, guardian, school, or other legally permitted authority.
If you authorize a minor to use Chanak Academy, you are responsible for helping them understand appropriate use of the Platform and for ensuring that their use is permitted under applicable school, family, and legal requirements.
You agree to provide accurate account information and keep your login credentials secure. You are responsible for activity under your account unless that activity results from our failure to maintain reasonable platform security.
You must not share login credentials with unauthorized users, impersonate another person, create misleading accounts, or access accounts that do not belong to you.
Section 05
Student accounts and minor users
Chanak Academy may be used by students directly, through a school, through a parent or guardian, or through another approved learning arrangement.
Where a student is a minor:
- A parent, guardian, school, or authorized adult may be required to approve or manage the account.
- The Platform may collect and process student learning data for educational purposes.
- Schools may access academic records, assignments, progress, and class participation data for learners under their academic responsibility.
- Parents or guardians may access linked learner progress where the linking has been authorized.
- We may limit certain features to protect students and maintain a safe learning environment.
Students must use Chanak Academy for learning and academic purposes. Students must not use the Platform to harass others, cheat, bypass school rules, submit harmful content, or misuse AI tools.

Section 06
School and institutional use
Schools and institutions may use Chanak Academy to support teaching, learning, assessment, class management, academic records, and communication with students and families.
Where a school creates, sponsors, manages, or authorizes student or teacher accounts, the school is responsible for:
- Ensuring it has proper authority to onboard learners and staff.
- Assigning appropriate roles and access permissions.
- Informing students, parents, guardians, and staff about Platform use where required.
- Using student data only for legitimate educational purposes.
- Ensuring school staff use the Platform lawfully and professionally.
- Removing or updating access when a teacher, staff member, or student leaves the school or no longer requires access.
Schools must not use Chanak Academy to collect, upload, or expose unnecessary sensitive personal information about students or staff.
Chanak may provide school dashboards, reports, class records, performance analytics, and other academic visibility tools. These tools support educational decision-making and should be interpreted by qualified teachers or school administrators.
Section 07
Teacher use and professional responsibility
Teachers may use Chanak Academy to create classes, assign content, generate learning materials, review learner work, provide feedback, and monitor progress.
Teachers remain responsible for their professional judgment. AI-generated lesson plans, questions, notes, marking guidance, feedback suggestions, or other materials should be reviewed before use with learners.
Teachers agree not to:
- Upload unlawful, discriminatory, abusive, misleading, or inappropriate content.
- Share student personal data outside authorized school or Platform channels.
- Use Chanak Academy to humiliate, threaten, or unfairly profile learners.
- Rely solely on AI-generated content where professional judgment is required.
- Upload copyrighted content unless they have the right to do so or the use is legally permitted.
- Misrepresent AI-generated content as official curriculum content unless it has been properly reviewed and approved.
Section 08
Parent and guardian use
Parents and guardians may use Chanak Academy to view linked learner progress, tasks, assignments, performance indicators, notifications, and other information made available through the Platform.
Parent visibility is designed to support learning, not to replace teacher communication, official school records, school disciplinary procedures, or professional academic judgment.
Parents and guardians must not misuse learner information, attempt to access accounts they are not authorized to view, interfere with school administration, or use Platform information to harass teachers, students, or school staff.
Where a parent or guardian requests access to a learner profile, Chanak may require verification, school confirmation, learner consent where appropriate, or other safeguards before linking accounts.
Section 09
ChanAI and AI-supported features
ChanAI and related AI features are designed to support learning, revision, explanation, practice, teacher preparation, and academic workflows.
AI outputs may include explanations, examples, practice questions, lesson plans, feedback suggestions, summaries, and recommendations. These outputs may be helpful, but they may also be incomplete, inaccurate, outdated, or unsuitable for a particular learner or classroom without review.
Users should not enter highly sensitive personal information into ChanAI unless the feature clearly requires it for an authorized educational purpose.
You understand and agree that:
- AI outputs are not official examination answers unless verified.
- AI outputs are not a substitute for teacher judgment.
- AI outputs are not legal, medical, psychological, financial, or other professional advice.
- AI-generated teacher materials should be reviewed before classroom use.
- AI-generated student support should be used as guidance, not as guaranteed truth.
- Chanak may monitor, filter, limit, or review AI interactions for safety, quality, abuse prevention, product improvement, and legal compliance, subject to our Privacy Policy and applicable law.
Users must not use ChanAI to generate harmful, abusive, sexually explicit, discriminatory, unlawful, or deceptive material. Students must not use ChanAI to cheat, submit work dishonestly, or bypass school academic integrity rules.
Section 10
Curriculum and academic content
Chanak Academy provides curriculum-aligned academic support based on available curriculum structures, learning outcomes, educational materials, teacher input, and platform-generated content.
We make reasonable efforts to keep learning materials accurate, relevant, and aligned to the appropriate curriculum. However, curriculum requirements, school policies, examination formats, and official guidance may change.
Chanak Academy does not guarantee:
- That every lesson perfectly matches every school’s scheme of work.
- That all content is complete, current, or error-free.
- That Platform use will guarantee improved grades or examination results.
- That AI-generated materials will always be accurate.
- That all materials are officially approved by a ministry, examination body, or school unless expressly stated.
Teachers, schools, students, and parents should use Chanak Academy as a support tool alongside official curriculum documents, classroom teaching, school guidance, textbooks, and examination body requirements.
Section 11
User content
You may be allowed to upload, submit, create, share, or generate User Content on Chanak Academy. You retain ownership of your User Content, subject to the rights you grant us under these Terms.
By submitting User Content, you grant Chanak a non-exclusive, worldwide, royalty-free license to host, store, process, reproduce, display, adapt, analyze, and use that content only as reasonably necessary to:
- Provide the Platform.
- Support classes, assignments, assessments, and feedback.
- Operate AI, tutoring, and teacher tools.
- Maintain records and progress tracking.
- Improve safety, quality, and reliability.
- Comply with law and enforce these Terms.
You are responsible for ensuring that your User Content is lawful and that you have the right to submit it. You must not upload or share content that:
- Violates intellectual property rights.
- Contains personal data you are not authorized to share.
- Is abusive, threatening, hateful, defamatory, obscene, or exploitative.
- Promotes violence, self-harm, criminal activity, or unsafe behavior.
- Contains malware, spyware, phishing links, or harmful code.
- Misleads users, impersonates another person, or violates school rules, child protection obligations, or applicable law.
We may remove, restrict, or disable access to User Content that we reasonably believe violates these Terms, the law, school safety requirements, or Platform integrity.
This license does not transfer ownership of your User Content to Chanak and does not allow us to sell your User Content as a standalone product unrelated to the Platform.
Section 12
Teacher-created materials and school content
Teachers and schools may create, upload, adapt, assign, or share learning materials through Chanak Academy.
Unless agreed otherwise in a separate written agreement:
- Teachers and schools retain ownership of materials they create or upload.
- Chanak may host, process, display, and deliver those materials to authorized users.
- Chanak may use uploaded materials to support platform functionality, such as formatting, curriculum mapping, assignment delivery, assessment workflows, and AI-assisted organization.
- Schools are responsible for ensuring they have the right to upload institutional materials, copyrighted documents, past papers, images, videos, or third-party resources.
Where content is created within a school account, the school may have administrative rights to access, retain, export, restrict, or delete that content depending on the applicable plan, configuration, and legal obligations.
Section 13
Academic integrity
Chanak Academy is designed to support learning, not academic dishonesty. Students must not use the Platform to:
- Submit AI-generated work as their own where this violates school rules.
- Share answers during active tests or exams.
- Impersonate another learner.
- Manipulate scores, mastery data, assignments, or progress records.
- Bypass assessment restrictions or interfere with teacher review and school records.
Teachers and schools may use Platform records, assignment histories, activity logs, AI interaction indicators, and other available data to review academic integrity concerns. Chanak may suspend or restrict accounts involved in cheating, manipulation, or serious misuse.
Section 14
Payments, subscriptions, and billing
Chanak Academy may offer free, paid, school-sponsored, individual, family, premium, institutional, or partner-supported access plans.
Paid services may be billed weekly, monthly, annually, per learner, per teacher, per school, per class, per usage, or under another plan described at the time of purchase. By purchasing a paid plan, you agree to pay all applicable fees, taxes, transaction charges, and payment processing costs shown at checkout or in your agreement.
Payments may be processed by third-party payment providers, mobile money operators, card processors, banks, or other payment partners. Your use of those payment services may be subject to their own terms and privacy practices.
We will present material price, plan, and billing information before purchase where reasonably practical. You are responsible for reviewing the plan details before completing payment.
Unless stated otherwise:
- Fees are charged in the currency shown at checkout.
- Access may begin after successful payment confirmation.
- Subscriptions may renew automatically where auto-renewal is enabled and permitted.
- Failed payments may result in suspension, downgrade, or loss of paid features.
- School and institutional plans may be governed by separate invoices, purchase orders, or written agreements.
Section 15
Refunds and cancellations
Refund terms may depend on the plan, payment method, school agreement, promotional offer, or applicable consumer protection law.
Unless a separate written agreement states otherwise:
- Free plans do not require cancellation.
- Users may cancel future renewal of a subscription where self-service cancellation is available.
- Cancellation may stop future billing but may not automatically refund fees already paid.
- Refunds may be considered for duplicate payments, technical billing errors, failed access after payment, or other valid reasons determined by Chanak.
- Promotional, discounted, sponsored, or grant-supported access may be non-refundable unless required by law or stated in the offer.
To request billing support, contact us using the support details provided on the Platform.
Section 16
Acceptable use
You agree to use Chanak Academy responsibly, lawfully, and for educational purposes. You must not:
- Access the Platform without authorization.
- Attempt to hack, disrupt, overload, reverse engineer, scrape, or damage the Platform.
- Interfere with security, authentication, payments, data, or access controls.
- Upload viruses, malware, phishing links, or harmful code.
- Harass, bully, threaten, exploit, or abuse any person.
- Share sexually explicit, violent, hateful, discriminatory, or unlawful content.
- Collect personal data from other users without authorization.
- Use the Platform for spam, scams, fraud, impersonation, or deception.
- Sell, resell, sublicense, or commercially exploit Platform access without permission.
- Use unauthorized automated bots or scripts.
- Use ChanAI or Platform tools to generate harmful, unlawful, or abusive content.
- Misuse school, learner, teacher, or parent records.
We may investigate suspected misuse and take action, including warnings, content removal, feature restriction, account suspension, school notification, reporting to appropriate authorities, or legal action.
Section 17
Safety, child protection, and reporting
Chanak Academy serves learners and education communities. User safety is a priority. Users must not use the Platform to exploit, groom, threaten, abuse, harass, or endanger children or any other users.
Where we become aware of serious safety concerns, child protection concerns, unlawful activity, or credible risk of harm, we may take appropriate steps, including:
- Restricting or suspending accounts.
- Preserving relevant records.
- Notifying a school, parent, guardian, or authorized institution.
- Reporting to competent authorities where required or appropriate.
- Cooperating with lawful investigations.
Users can report abuse, unsafe content, suspicious behavior, or platform misuse through the available support or reporting channels.
Section 18
Communications and notifications
Chanak Academy may send service communications, learning reminders, class notifications, assignment updates, payment notices, account alerts, support messages, and other Platform-related communications.
Communications may be sent through:
- In-app notifications.
- Email.
- SMS.
- WhatsApp or similar channels where enabled.
- School dashboards.
- Parent or teacher notifications.
- Other communication methods supported by the Platform.
You are responsible for keeping contact details accurate. You may opt out of non-essential marketing messages where available, but service, security, billing, school, and account-related communications may still be necessary.
Section 19
Privacy and data protection
Your privacy is important to us. Our collection and use of personal data is described in our Privacy Policy, which forms part of these Terms. Child and student data is also addressed in our Child & Student Data Notice.
Chanak Academy may process personal data including names, contact details, school information, class membership, learner profiles, academic activity, assessment records, assignments, feedback, payment records, device information, usage data, and AI interaction data.
We aim to process personal data fairly, lawfully, securely, and in a way that is appropriate for an education platform serving learners, teachers, parents, and schools.
We process personal data for purposes such as:
- Account creation and authentication.
- Learning delivery and class management.
- Parent or guardian visibility.
- Assessment, feedback, and mastery tracking.
- AI-supported tutoring and teacher tools.
- Billing, subscriptions, support, and communications.
- Safety, abuse prevention, security, analytics, product improvement, and legal compliance.
Where required, Chanak will seek or rely on appropriate authorization from a parent, guardian, school, institution, or other lawful basis before processing student or child data. Users, schools, and parents must not upload personal data that is unnecessary, excessive, unlawful, or unrelated to educational use.

Section 20
Data roles for schools and institutions
Depending on the context, Chanak may act as a data controller, data processor, data collector, service provider, or equivalent role under applicable data protection laws.
For school-sponsored accounts, a school may determine the educational purposes for which learner and staff data is processed. In such cases, the school may be responsible for providing notices, obtaining required permissions, and ensuring lawful use of the Platform within its community.
Chanak may process school data to provide the Platform, maintain security, deliver learning services, support users, and comply with legal obligations. Where required, Chanak and a school may enter into a separate data processing agreement, school services agreement, or institutional contract.
Section 21
Data storage, hosting, and cross-border processing
Chanak Academy may use cloud infrastructure, databases, analytics tools, AI services, payment processors, communication providers, and other service providers to operate the Platform.
Your data may be stored or processed in Uganda, East Africa, Africa, Europe, the United States, or other locations where our service providers operate, subject to applicable legal safeguards.
Where cross-border transfer restrictions apply, Chanak will take reasonable steps to comply with applicable data protection requirements, including using appropriate contractual, organizational, or technical safeguards where required.
Section 22
Platform availability and changes
We aim to provide a reliable learning platform, but we do not guarantee uninterrupted, error-free, or always-available service.
The Platform may be unavailable because of:
- Maintenance and updates.
- Internet or telecom disruptions.
- Cloud provider, payment provider, or messaging provider issues.
- School network restrictions.
- Security incidents or force majeure events.
- Other circumstances beyond our reasonable control.
We may add, remove, suspend, redesign, or modify features from time to time. Where changes materially affect paid institutional services, we will try to provide reasonable notice where practical.
Section 23
Third-party services and links
Chanak Academy may integrate with or link to third-party services, including payment processors, cloud providers, AI providers, messaging services, video platforms, document tools, school systems, analytics providers, and external educational resources.
We are not responsible for third-party services we do not control. Your use of third-party services may be governed by their own terms, privacy policies, fees, and rules.
Teachers and users who share external links, videos, documents, or resources are responsible for ensuring that those resources are appropriate, lawful, and relevant for learners.
Section 24
Intellectual property
Chanak Academy, including our platform design, software, brand, logos, user interface, code, workflows, curriculum structures created by us, AI systems, databases, graphics, product names, documentation, and original content, is owned by Chanak or our licensors.
These Terms do not transfer ownership of Chanak intellectual property to you. You may use Chanak Academy only as permitted by these Terms, your subscription, your school agreement, or another written agreement with us.
You must not copy, reproduce, modify, distribute, sell, sublicense, reverse engineer, or create competing products from Chanak Academy except where legally permitted or expressly authorized in writing.
Section 25
Feedback and suggestions
If you provide ideas, feedback, suggestions, bug reports, feature requests, or recommendations, you allow Chanak to use them without restriction or compensation.
We may use feedback to improve the Platform, develop new features, fix issues, refine AI tools, or improve learning experiences.
Section 26
Beta features and pilots
Chanak may offer pilot features, beta tools, experimental AI features, early school trials, sponsored access, or limited-release programs.
Beta and pilot features may be incomplete, unstable, changed, discontinued, or subject to additional rules. Where a school or user participates in a pilot, they agree to use the feature responsibly and provide feedback where appropriate.
Section 27
Suspension and termination
We may suspend, restrict, or terminate access to Chanak Academy if:
- You violate these Terms.
- You misuse the Platform.
- Payment is overdue.
- Your account creates security, legal, safety, or operational risk.
- Your school or institution ends its relationship with Chanak.
- We are required to do so by law.
- We discontinue a service or plan.
You may stop using Chanak Academy at any time. Account deletion, data deletion, and record retention may be handled under our Privacy Policy, school agreements, legal obligations, and academic record requirements.
Suspension or termination does not automatically remove obligations that arose before termination, including unpaid fees, confidentiality obligations, intellectual property restrictions, or liability for misuse.
Section 28
Disclaimers
Chanak Academy is provided on an “as is” and “as available” basis to the maximum extent permitted by law.
We do not guarantee that:
- The Platform will always be available.
- All content will be complete, current, or error-free.
- AI outputs will always be accurate or suitable.
- Use of the Platform will guarantee academic improvement, examination success, school admission, scholarships, or employment.
- The Platform will meet every school’s internal policy or curriculum implementation approach.
- All third-party services will operate without interruption.
Nothing in these Terms excludes liability that cannot be excluded under applicable law, including liability for fraud, intentional misconduct, or obligations that cannot lawfully be limited.
Section 29
Limitation of liability
To the maximum extent permitted by law, Chanak will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including loss of profits, loss of data, loss of goodwill, academic loss, business interruption, or reputational harm arising from use of the Platform.
Where liability cannot be excluded, Chanak’s total liability for claims relating to the Platform will be limited to the amount paid by the user or institution for the affected service during the three months before the claim arose, unless applicable law requires a higher amount.
This limitation does not apply where prohibited by law and does not limit statutory rights that cannot be waived by contract.
Section 30
Indemnity
To the extent permitted by law, adult users, schools, institutions, and other legal entities agree to indemnify and hold Chanak harmless from claims, losses, damages, liabilities, costs, and expenses arising from:
- Your misuse of the Platform.
- Your violation of these Terms.
- Your unlawful User Content.
- Your infringement of another person’s rights.
- Your unauthorized sharing of personal data.
- Your breach of school rules or institutional obligations.
- Your misuse of AI tools or academic records.
For school and institutional users, this obligation applies to the institution to the extent the claim arises from institutional use, staff misuse, uploaded school content, unauthorized processing instructions, or breach of the institution’s legal responsibilities.
Section 31
Governing law
Unless a separate written agreement states otherwise, these Terms are governed by the laws of Uganda.
Where Chanak Academy is provided to users, schools, or partners in other East African countries, local mandatory consumer protection, education, data protection, child protection, taxation, and digital service laws may also apply.
If there is a conflict between these Terms and a mandatory local law that cannot be waived, the mandatory local law will apply to the extent of the conflict.
Section 32
Dispute resolution
We encourage users, parents, teachers, schools, and partners to contact us first so that disputes can be resolved quickly and practically.
If a dispute cannot be resolved informally, the parties may first attempt good-faith negotiation or mediation. Unless a separate written agreement provides otherwise, disputes arising from these Terms may be submitted to the competent courts of Uganda.
For school or institutional agreements, dispute resolution may be governed by the applicable written contract.
Section 33
Changes to these Terms
We may update these Terms from time to time to reflect changes in the Platform, law, pricing, features, operations, or risk controls.
When changes are material, we will take reasonable steps to notify users, schools, or account owners through the Platform, email, or other appropriate channels.
The updated Terms will apply from the effective date stated at the top of the page. If you do not agree with updated Terms, you should stop using the Platform before they take effect. Continued use of Chanak Academy after changes take effect means you accept the updated Terms.
